Bachelor’s Degree. In lieu of degree, four years of full time directly related experience, or a combination of higher education and experience totaling four years may be considered. Five (5) or more years of full time facilities experience directly related to custodial services.Two (2) years management and supervisory experience. Bachelor’s degree in Facilities Management or related field. Three or more years of full time professional experience directly related to custodial management. Prior experience working at a University or similar facility. Working knowledge of appropriate Health Care Regulations/Codes, OSHA, Life Safety Codes etc. Knowledge of business management practices, to include managing a budget.Experience developing and implementing an efficient cleaning program.Experience developing training programs. Experience with the state procurement system. Experience in a unionized environment.
Brief Description of Duties:
This position requires thorough knowledge of custodial services operations. The Assistant Director of Custodial will be responsible for overseeing day-to-day operations of custodial services for Residential Operations buildings, including the Student Health Service Center and Student Recreation Center. This position will be responsible for supervising personnel skilled in the custodial trade. Using reports generated from the departments computerized maintenance system (CMMS) and through close coordination with both the Residential Operations and Facilitates Operations staff, the selected candidate will be responsible for developing strategic plans to implement the Division goals. This includes the development, review and analysis of plans, making decision on space allocation, and the preparation of cost estimates and purchasing requirements. The Assistant Director of Custodial will also be responsible for implementation of a training program that will ensure custodial staff provide efficient and effective service delivery to our residents. Outstanding written, verbal and interpersonal communications skills is required for this position. Excellent customer service skills and experience interacting with individuals at various levels is needed to be successful. In addition, the Assistant Director of Custodial is required to respond to after hour and emergency calls and provide coordination as needed.The selected candidate will have bothexcellent verbal and written communication skills. The Assistant Director of Custodial is responsible for the daily operations of the Residential Operations Custodial Department. Meet regularly with the Director of Residential Operations to discuss day-to-day operational issues and concerns. The Assistant Director of Custodial will directly supervise custodial staff, custodial contractors and provide guidance to custodial supervisors. Develop, revise andimplementcleaning schedules and service programs for Residential buildings. Develop policies and procedures for the Residential Custodial department.Project custodial staffing requirements.Coordinate shared labor resources between Facilities Managers to ensure proper staffing levels, coverage and service response is maintained.Oversee the scheduling of work assignments, making sure employees have proper equipment and supplies to complete assigned task and/or projects. Coordinate recycling and waste management services within the Campus Department of Recycling and Solid Waste Management. In accordance with local, state and federal law, ensure all staff is following the campus recycling and waste management practices. Responsible for emergency response and coordination in critical situations and after hours calls.
Direct Custodial employees in accordance with State and University policies, including, but not limited to recruitment, training, work performance, termination, discipline, and performance evaluations. Prepare performance programs and evaluation for assigned personnel as well as take appropriate steps when issuing verbal and written counseling. Assign work and hold employees responsible for satisfactory performance. Coach custodial supervisor on how to prepare performance programs and counseling. Administers applicable union/labor agreements and grievances. Schedule employee's planned time off requests to ensure adequate support for the day-to-day activities and special events. Monitor all unscheduled time off to ensure adequate custodial coverage. Meet regularly with the Facilities Managers and custodial supervisor to review daily activities and any issues they are having. Analyze and evaluate the work forces needs and capabilities and implement changes as needed. Screen and interview job applications and make recommendations on hiring new employees. Ensures the policies of the University, Facilities Operations and Residential Operations, as well as safety regulations are known and observed by all staff.
Responsible for the development and implementation of a comprehensive custodial training program, which includes both safety and operational training. These programs will be designed to develop work standards, standard methods and use of materials. The training should also include the use of new methods, systems and materials, and orient personnel to perform effectively and safety. Coordination with EH&S and the Facilities Operations Business Office to ensure all required annual safety training is provided and documented. Maintain a functional awareness of the typical hazards of the work place as well as special hazards that may occur. Follow established procedures for dealing with such potentials hazards. Stay up-to-date on all appropriate safety, codes, and health care regulations (OSHA, life Safety, etc.)
Assist the director in managing and monitoring the cleaning contractors for the apartment complexes. Assures that the services that are invoiced have been provided and that the level of cleaning services provided exceed satisfactory custodial practices. Responsible for making sure the cleaning products and equipment used are appropriate. Responsible for facilities access for outside contractors and temporary personnel working within the assigned areas. Ensure that access is terminated, when appropriate. Must coordinate and ensure that contractor work is done correctly and all paperwork is submitted.
Perform building inspections to ensure Residential buildings are kept clean and up to industry standards. Create work orders as necessary to correct any deficiencies, and followed-up to ensure compliance and completions.
Responsible for the operation and maintenance of the Infor Management System. Input, track, and monitor work orders for the Custodial Department.This responsibility includes, but is not limited to, enter, track, and close out work orders. Evaluate, maintain, and update, preventative maintenance tasks and frequencies, etc. Ensure supervisor are scheduling all work within the system.
Management of the Custodial Department and Conference Operations budget. Assist the Director of Residential Operations in preparing operational and project budget for all necessary work. Track account expenditures, track and report overtime expenditures in relation to overtime budget. Monitor the PSR budget for vacancies and over hiring opportunities to ensure staffing needs are met. Maintain appropriate data and provide reports to the Director of Residential Operations. Prepare requisition for supplies and materials, including specifications and justifications. Request quotes from vendors for materials and supplies. Order equipment and supplies for the custodial department. Perform other procurement duties as assigned. Follow all State procurement guidelines.

This is a full time appointment.FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
